NOTICE: Due to the ongoing COVID-19 crisis, all events are cancelled for the 2020 season.
FOR 2021 RESERVATIONS: We anticipate being able to rent space in the Garden for the summer of 2021. Because we cannot predict, at this time, what impact COVID-19 might have on events next summer, reserving space now does not guarantee that the Garden will be open for large gatherings in 2021. Rather than charging for rentals at the time of reservation, payment will be collected at a later time, once we have confirmation that your event can take place.

Deposit & Cancellation
A $500 payment must be made to secure your reservation. Because most events here are scheduled so far in advance, if your event needs to be canceled or rescheduled, a refund will be made according to the following:
- 60 days or more before your scheduled event, 50% refund
- 59 days or fewer before your scheduled event, no refund
Your credit card information will be securely held in lieu of charging the $500 deposit. If any damages are incurred, a fee of up to $500 will be charged to the your card. If you leave the venue in good condition, no charge will be made.
Set-up, Take-Down, and Overtime
Set-up and take-down time are part of the time you request, i.e. if your event is only an hour, but you require set-up and take-down time, you should request 2 hours. A fee of $150/hour can be charged from the deposit if the venue is not cleaned and vacant by the end of your allotted time
Wedding Rehearsals
A rehearsal on a date prior to your event can be arranged. Let a staff member know when we first reply to your form submission and we can schedule this in. There is a fee of $50 for an hour.
Decorations and Furnishing
Your venue space should remain in the same condition as it was prior to your event. The use of nails, thumbtacks, etc. may not be used in any of the structures, benches, tables, fences or trees. You may throw flower petals, but they must be raked up afterward. Sorry, no rice allowed.
You may bring in your own chairs, tables, etc. Benches in the Pavilion are movable but must be moved back to their original homes after your event.
Parking & Transportation
Parking at the Gardens is extremely limited. If you anticipate a lot of attendees, we recommend you direct your guests to park at the lower Nenana Parking Lot and provide shuttle service, as parking alongside the road is a safety hazard.
Food & Alcohol
Food/Catering
You may hire an outside caterer, however, if you do this you will need a waiver through UAF Food Services, and the application must be submitted at least 14 days before the event. If you plan to use the grill you must bring your own propane, pay a deposit, and clean the grill after use.
Alcohol
Beer and wine may be served by a licensed caterer, but you must follow all UAF policies and State laws. We will guide you through the process if you choose to have alcohol at your event.
Open Space
The entire garden is available for you to enjoy during your event, however, keep in mind that the GBG is a museum of living plants, so please respect all of plants. Climbing trees, picking flowers, fruits, vegetables or other vegetation is not allowed.
Children
For the safety of all children and for the health of the garden, please monitor children at all times. The GBG is a wonderful place to teach children about plants. It is the responsibility of the children’s chaperones to teach them how to enjoy the garden in a respectful way and the importance of following the policies of the garden.
Toilet Facilities
There are two Sani-cans located in the garden. One is located in the parking lot just east of the little white building. The other one is located in the Babula Children’s Garden just north of the main Babula Garden entrance.
Smoking
Smoking is not allowed in the garden or anywhere on the campus of the University of Alaska Fairbanks (UAF). UAF is a tobacco-free campus. It is allowable to smoke inside of your personal vehicle.
Pets
While we love pets, they are not allowed in the Georgeson Botanical Garden with the exception of registered and properly identified service animals.
Electricity
All of our available spaces have access to electricity. We encourage you to test any electrical equipment on site prior to your event to ensure that everything runs smoothly on the day of your event.
